It’s All About Presentation: Lessons from Japan

After my recent trip to Japan, some of the more striking things to me (beyond the cherry blossom trees) about the Japanese culture are their etiquette, respect, and overall visual presentation. I’ve always been an admirer of Japanese art- from calligraphy and brush painting to Ikebana, a style of floral arrangement.

In Japan, there is a sense of simplicity and beauty that is expressed visually. This beauty and simplicity also follows through in the politeness and graciousness of the people. There is an overall helpfulness to strangers and foreigners. As a tourist, if you stand around looking confused (maybe holding a map), in a short while someone will come up to you and ask you if you need help.

I suggest that as presenters we take a few lessons from Japanese culture. Here are eight ideas to consider:

1. Politeness - Use business and professional etiquette. Thank people for giving you their time and attention by attending your presentation or meeting.

2. Simplicity - Be clear and concise. Have a clear objective for your presentation or meeting. Stay on topic throughout your presentation. Don’t give people too much information. In Ikebana, floral arrangements are usually constructed with 3 main elements. Likewise, in your presentation - 3 main points or topics work well. Too much information leads to information overload, glazed over eyes and sometimes even snoring.

3. Respect - If you are giving presentations outside of your home country, take the time to learn some of the cultural norms and a few words and phrases. At the least, you won’t do anything considered offensive and ideally, you will show respect to your audiences.

4. Be a gracious host - Arrive early so that you can welcome people to your presentation or meeting and introduce yourself (if you don’t know people). If people do not know each other, facilitate introductions. Create a warm and welcoming atmosphere and make sure that the room is set up comfortably.

5. Quality - Japanese cars, trains, subways, electronics, and even toilets employ efficiency and features that American companies haven’t yet manufactured. The bullet train has been in operation since 1964 and carries millions of people on time each day, at peak times every 10 minutes, and it has never had a fatal accident. Quality includes paying attention to the details - no matter how small. We’ve all heard the phrase that God or the devil is in the details. Either way you look at it, the details are important.

Here are some presentation details to consider.

• Is your presentation of professional quality?
• Do you come across as a professional?
• Are you articulate and credible?
• Are your written materials grammatically accurate and typo free?

Suggestions to help improve the quality of your presentations.

• Have your presentation materials proofread by someone else. It is nearly impossible to accurately proofread your own documents. Your brain knows what you intended to write and will see that instead of what is actually on the page. Spell check is not enough.

• Pay special attention to your appearance and grooming. For important presentations be at least one step up of business attire than your audience. 1st impressions are important and tend to stick.

6. Beauty - How many PowerPoint presentations have you seen that are beautiful? I imagine, not many. Be different than everyone else - use photographs and illustrations where you can. Don’t use just text on your slides. Choose colors that are pleasing to the eye - be creative and have fun bringing a presentation to life with beautiful images.

7. Storytelling - History is passed down through the generations by stories in Japan as it is in many cultures. People remember stories better than facts as stories engage the senses and emotions. Use stories to illustrate your important points. Use stories to connect with your audience and be memorable.

8. Celebration- One of the truly fascinating things about Japanese culture is that people do not usually express emotions outwardly during the work day. However, the evening time is a different story! After working a long day - it’s typical to see a group of office workers out in the bars and restaurants having a really good time. They are often loud, rowdy, and completely different than their daytime demeanor. I think that both the camaraderie and the celebration are important to keep people motivated and engaged.

How You Can Achieve More Goals, Greater Success, Balance, and Less Stress in 2006

Do you know what most young people and adults share in common? From my experience as an educational consultant and executive coach, the answer is the inability to plan and achieve their goals.

Please take a few moments to think back to your middle school, high school or college years. Can you remember how much time you spent in learning how to plan, write and implement your goals? Goal planning and goal writing are skills that in many cases are learned through what I call the “Osmosis Factor.” Within this strategy, a presumption exists that if I hear or read the words, in this case goal planning or goal setting, I will immediately be able to set and achieve my goals. Unfortunately, consistent goal achievement is comprised of five factors and these factors by and large are not taught within the K-12 experience or even corporate training.

Factor #1 - Whole Life Approach

Take the “See Level” approach and not the “Sea Level” approach where you can’t see the forest for the trees. Look at your whole life and not just one area. Think of your life as a wheel divided into important areas including: mental, physical, family, career, financial and ethics and beliefs. Assess yourself in each area and then set goals to smooth out your wheel. Both my personal and professional wheels have 6 key areas.

Factor #2 - Criteria

Write goals using specific criteria. I use an adaptation of the traditional S.M.A.R.T. criteria - W.H.Y. S.M.A.R.T. (Written, Habit Forming, Yours, Specific, Measurable, Attainable, Realistically Set High, Time Driven)

Factor #3 - Tools

Utilize a proven goal setting tool that helps you work through the goal planning process. The tool that I use has 10 steps and recognizes the importance of reward, consequences, possible obstacles, possible solutions and affirmations.

Factor #4 - Affirmations

Construct positive affirmations or belief statements that will help you visualize the success that you desire for yourself. With all the negative energy and self-talk in the world, it is essential that you consistently reprogram your mental thoughts to overcome all the negative conditioning.

Factor #5 - Action Plan
Implement a written or electronic (software) Action Plan where you can keep all your goals and review them on a regular basis.

The coming New Year can be one of great incredible accomplishments and with less stress provided that you believe that YOUR life is what YOU make of it.

Setting Financial Goals - Part 1

Setting goals is difficult enough without adding the word finance in the mix. Many people are reluctant to tackle the task of determining financial goals. Unfortunately failing to do so can have an adverse effect on achieving a comfortable lifestyle later on in life. This article helps to guide you in successfully determining financial goals that you can actually achieve.

Before setting your financial goals there are 3 simple rules that must be followed. You will first need to learn to how effectively control your day-to-day financial affairs. Consistently doing this will allow you to do the things in life that bring you satisfaction and enjoyment. This is commonly referred to as making a budget. The next requirement is to choose a course of action that you can follow to financial success. Finally you must build a financial safety net such as a personal savings account or retirement investment.

Simple Steps To Setting Financial Goals

Step 1 - Identify and write down your financial goals. This will help you visualize your dreams and desires in the form of goals. This can include saving to send your children to college, buying a new car, saving for a down payment on a house, going on vacation, paying off high interest credit card debt, or planning for your retirement.

Step 2 - Take the time to break down your financial goals into several smaller more manageable time driven steps. These include short-term (less than 1 year), medium-term (1 to 3 years) and long-term (5 years or more) goals. Doing this simple task will make your goal setting process easier and more attainable.

Step 3 - Educate, Educate, Educate - Spend some time doing your research on financial topics. Read magazines and books on finance related subjects such as investing. Surf the Internet’s for investment web sites and don’t be afraid to learn about the stock market.

Step 4 - Periodically check your progress through a self-evaluation. You’ll want to check your progress monthly, quarterly, or at any other interval you feel comfortable with, but at least semi-annually, in order to confirm that your program is working. If you’re not making a satisfactory amount of progress on a particular goal, re-evaluate your approach and make changes as necessary.

Remember there are no hard and fast rules for implementing a financial plan. It is okay to dare to dream about riches, just be realistic about what you can actually do. When you write your goals down for your visualization process you will identify any that seem unobtainable and quickly see the more realistic goals that will lead you to financial success. The important thing is to at least do something as opposed to nothing, and to start NOW.

Time Management Skills And Advice

Are you the type of person who feels that there are not enough hours in the day for you to complete all of your daily tasks and duties? This article gives free tips on how to manage your time in a more constructive and successful way.

Set a to do list

I am one of the people who would have answered the above question with a definite yes. I often used to feel under pressure and uptight, I worried that I did not have enough time to do what I wanted and needed to do.

I now set myself a to do list which helps me to plan my time better. I have a priority list, which is the tasks which are the most important for me to complete. I will concentrate on working through these jobs first and always try to ensure that they are completed before the day ends.

If I manage to work through all of these tasks, I then start on my second list. This is a list of other important tasks which need to be completed as soon as possible but which do not particularly have to be finished today.

I then have my final list which is work that needs to be completed, however there is no immediate rush to finish them.

If at the end of the day I have certain tasks left on any of the lists, they then are added to the lists of the following day. This is a simple formula which has worked for me and which helps me to sleep better at night.

Take a break

In the past when I used to struggle to work through my tasks, I would start to panic and would not allow myself a break. This I have come to realise is a big mistake. My brain and that of most people has a certain concentration span. If I just continue to work, the quality of this work will soon drop as my brain becomes tired and weary. It is as if it is punishing me for not rewarding it with a rest.

I now make sure that I have regular breaks and I will usually take an hour for lunch. This helps me to return to my tasks fresh and alert. My brain is also happier which helps me to think clearer and quicker.

Do not rush

I would always rush each task, eager to start on the next one. What I found was that this would lead me to making lots of silly errors. I would then have to go back and amend these mistakes which ultimately would cost me valuable time. I now work at a speed I am comfortable with. I still make errors which of course is part of life, however there are now far fewer of these.

Do not beat yourself up

I am my own worst critic. I would often go to bed and would be unable to sleep as I was thinking about all of my unfinished business. I would feel guilty and even ashamed of myself. The next morning after this lack of sleep, I would be tired, which would affect my ability to work well.

This of course was like a vicious circle, which was making things a whole lot worse. I now am attempting to be a lot easier on myself and realise that all I can do each day, is to try my best. If I am unable to complete a task or tasks that is fine, I will do it in the morning.

I hope the above advice helps you to plan your day more effectively and leads you to more positive and successful results.
